Our office has served the Northern Virginia community for nearly 30 years. We strive to begin caring for you even before you see our doctors, with kind and helpful service in making appointments, gathering the information we need to treat you, and handling billing. If you have any questions about our process, our policies or have a special circumstance, please let us know and we will make every attempt to accommodate your needs.
To offer excellent service and availability to all of our patients, we ask that you arrive on time for your appointment. Late arrivals may need to be rescheduled. Also, please call to cancel or reschedule appointments and specialty testing at least 24 hours prior.
Please remember to schedule appointment times for your allergy shots. We do not allow walk-in shot appointments.
Please allow 24 hours for routine prescription refills during regular business hours.
Billing and Insurance
We accept most insurance plans and will gladly file insurance claims on your behalf. Ultimately you hold the financial responsibility for your account. We ask that you remit any applicable co-pay, deductible, and co-insurance according to the terms of your insurance contract at the time services are rendered. If you do not have your insurance information available at the time of your visit, we require that you pay all charges for the visit prior to being seen.
If, after insurance and co-payments, you have an outstanding balance due, you may be asked for payment in full or arranging a payment plan, before your next appointment. If multiple attempts to collect an outstanding payment are unsuccessful, we reserve the right to turn the balance due to over to a collection agency and you will also be responsible for any legal or collection agency fees incurred. Any payment made to us in the form of a check that is returned for insufficient funds will incur a $25.00 fee per incidence.
Cancellations
We will attempt to contact you 48 hours to confirm your upcoming appointment. If you are unable to keep your appointment, we ask for a 24-hour notice of cancellation. If you fail to show for your appointment without notifying us, we reserve the right to charge you a $30.00 no-show fee.
Prescription Refills
We request 72 hours to refill prescriptions from time of request. The best way to request refills is to call your pharmacy two weeks before your medication runs out and your pharmacy will contact our office.
Referrals/Prior Authorizations
Some insurance companies do not require a referral for our care. Please call your insurance to verify if a referral or prior authorization is needed for your appointment or treatment, 3-5 days before your appointment. Some insurance companies can take up to 7 business days to give approval or denial.
In Case of Divorce or Shared Payment Responsibility
For children under 18, the parent authorizing treatment will also be responsible for the charges related to that care, including all copays or deductibles. If your legal arrangement requires another party or the other parent to pay all or part of the treatment costs, it is the authorizing parent’s responsibility to collect those fees, not our office..
